Terms and Conditions
General
Grosvenor Event Rentals Ltd (“we”, “us”) hires catering equipment and event furniture to both retail and trade customers. A trade customer is a customer who has set up an account with us, with signed and agreed credit/payment terms. Applications to set up a trade account are by request.
The contract is for the hire of equipment detailed on the contract. The parties to the contract are:
a) the Hirer, as an individual, or an organisation whose official representative will be the signatory of the contract.
b) Grosvenor Event Rentals Ltd (Registered No 12678230) with its registered office at 16 Hillview Gardens, Hendon, London, NW4 2JH.
The Hirer warrants that the person accepting the delivery of the hired equipment is duly authorised to do so on behalf of the Hirer. The person accepting the delivery also warrants that they are authorised to accept do so on behalf of the Hirer.
All equipment hired remains the property of Grosvenor Event Rentals Ltd at all times.
Where the Hirer is in breach, or subject to insolvency or liquidation proceedings, Grosvenor Event Rentals Ltd may terminate the contract and collect equipment without affecting any rights to recover monies owing or breach of contract damages.
Acceptance of goods and services from us implies that you have accepted these Terms and Conditions.
Responsibilities of The Hirer
The Hirer will provide adequate delivery and collection access. Any loading, unloading, or other assistance provided by Grosvenor Event Rentals Ltd is at the Hirer’s risk.
The Hirer (or their representative) will check the quantities and condition of equipment on delivery. Discrepancies or damages on arrival of delivery must be reported immediately by email to hire@grosvenorrentals.co.uk
The Hirer accepts full responsibility for the security and safe use of the equipment until collection or return to Grosvenor Event Rentals Ltd. Under no circumstances should electrical appliances be used without being correctly earthed (unless they are of double-insulated construction.) Gas appliances must only be used in a well-ventilated area and must not be used below ground level.
The Hirer ensures that goods hired will remain at the place of delivery for the duration of the hire, unless other arrangements have been made with Grosvenor Event Rentals and confirmed in writing.
The Hirer is responsible for any ‘wear & tear’ incurred at the hiring venue caused by the equipment. This includes, but is not limited to, scrapes to paintwork, flooring, and walls. Due care will be always taken by staff of Grosvenor Event Rentals Ltd, but deliveries and hire are at the risk of the Hirer and the manager/owner of the venue/delivery address.
The Hirer agrees to insure all equipment on a full replacement basis against loss and theft from the time of acceptance of the equipment until it is returned to Grosvenor Event Rentals Ltd premises. All insurance claim proceeds to be paid to Grosvenor Event Rentals Ltd on demand.
In the event of a breakdown or unsatisfactory working of hired equipment, Grosvenor Event Rentals should be notified by the Hirer of the fault as soon as practicable. No attempt should be made by the Hirer to repair the equipment unless express permission is granted in writing by Grosvenor Event Rentals Ltd.
Responsibilities of Grosvenor Event Rentals Ltd
Appropriate instruction on the safe use and operation of electrical or gas appliances will be provided by Grosvenor Event Rentals Ltd. Grosvenor Event Rentals Ltd does not accept responsibility for any loss or injury caused by the use of such equipment.
All powered equipment will undergo portable appliance testing (PAT) and inspection in accordance with relevant statutory requirements prior to commencement of hire.
Grosvenor Event Rentals Ltd will endeavour to replace or repair any equipment that has broken down or is not working satisfactorily as soon as possible. If repair or replacement is not possible, a refund will be given on that item.
Whilst Grosvenor Event Rentals Ltd will make every endeavour to supply equipment as described, all items are offered subject to availability. Circumstances may lead to alternative products being offered or supplied, but all alternatives will conform to the same standards.
Grosvenor Event Rentals Ltd will ensure that all goods will be delivered clean and ready to use.
If equipment cannot be supplied on the agreed date because of circumstances beyond its reasonable control, Grosvenor Event Rentals Ltd shall return all monies paid and not be liable to pay further compensation to the Hirer.
The liability of Grosvenor Event Rentals Ltd for any claims made by the Hirer will not exceed the contract charge and does not extend to any consequential or financial loss caused by late or non-delivery, unsuitability, breakdown or lawful repossession.
Grosvenor Event Rentals Ltd shall maintain Public Liability Insurance to appropriate levels. The insurance certificate will be made available for inspection if required.
Charges and Payment
Hire is at the discretion of the Grosvenor Event Rentals Ltd, and receiving an online quote does not confirm or guarantee an order. For retail customers, an order is only confirmed once payment has been made, and an order confirmation has been sent to the Hirer.
Prices quoted online are for up to 3 days’ hire only (including Bank Holidays) and are subject to delivery and cleaning charges, and VAT. Extended hire terms are available upon request.
Retail customers must pay in full to secure an order. Items cannot be reserved for any period of time without payment.
Payment is accepted via BACS or card on our website. We do not accept cheques or cash.
Items will be held for trade customers upon receipt of an order. Payment terms are as per the signed trade agreement between Grosvenor Event Rentals and the trade customer.
All outstanding payments, including VAT, will be paid by the Hirer on demand.
Deposits will be requested as security on equipment hired and will be used against any damages to the equipment. We aim for deposits to be returned by BACS within 7 working days after collection. Any balance due is refunded on return of equipment in undamaged condition.
Any equipment unavailable for inspection or collection, will be deemed to be lost and a charge will be made to the Hirer equal to the current replacement value of the equipment. The Hirer agrees to pay for all equipment loss, repair and cleaning. Hire charges will continue until full payment is made.
We reserve the right to change any price without prior notice. Agreed hire rates will be maintained for the length of the contract.
Delivery and collection will be charged at current Grosvenor Event Rentals Ltd rates. Failed delivery and collection attempts will also be charged at the current rates.
Any parking fines or other parking costs incurred due to inadequate provisions made by the Hirer (or organisers of the event) for delivery and collections by Grosvenor Event Rentals Ltd will be re-charged to the Hirer.
Changes/cancellations
Additional items may be added to the hire contract and are subject to availability. The deadline for additions to be considered is 12pm two working days before the agreed delivery date.
All cancellations must be confirmed in writing. They must be received by Grosvenor Event Rentals Ltd within the timescales set out below to avoid the hire charges being applied.
No refunds will be provided to retail customers if cancellation of an order, or part of an order, is made by the customer less than 1 month before the delivery date.
No refunds will be provided to trade customers if cancellation of an order, or part of an order, is made by the customer less than 3 working days before the delivery date. A working day is defined as 8am to 5pm, Monday to Friday (excluding weekends and Bank Holidays).
If Grosvenor Event Rentals Ltd has to cancel a booking/order at any point, we will offer a refund in full.
Delivery/collection
The Grosvenor Event Rentals Ltd delivery team will send a text message to the phone number on the contract when it is the next scheduled delivery/collection.
For our retail customers, we will make deliveries and collections between 8am and 6pm. We do not offer specific time slots.
Trade customers may request time slots for deliveries and collections, subject to a minimum of 2 hours. Out-of-hours collections and deliveries are available upon request.
Grosvenor Event Rentals Ltd will make every effort to effect delivery and collection at the times indicated by the contract. However, no responsibility will be taken if the requested times are not met. Removal will be carried out as soon as possible, but all equipment cannot always be collected immediately after use from all sites.
Queries regarding goods received must be notified to us immediately by email to hire@grosvenorrentals.co.uk. If the Hirer has any cause for complaint concerning the conditions, suitability, or performance of equipment hired, Grosvenor Event Rentals should be notified immediately. No consideration for redress will be given once the equipment has been used.
Grosvenor Event Rentals Ltd is under no liability for any injury, damage to persons or property, or loss of profit claimed by the Hirer in respect of interruptions, delays, inaccuracies, errors, omissions, or failure to deliver, or from the use of any equipment under hire.
Equipment must be returned by the Hirer to Grosvenor Event Rentals Ltd in the same condition that Grosvenor Event Rentals Ltd supplied it to the Hirer.
Drivers collecting goods are not authorised to check goods or return deposits. Any lost or damaged items should be identified by the Hirer at the point of return. Once the items arrive back with us, an additional check is carried out, at which point we also notify the Hirer of any losses or damages via a damage report.
In addition to hire, cleaning, and transport charges, Grosvenor Event Rentals reserves the right to charge for damages and replacement costs after the equipment has been checked by authorised staff at Grosvenor Event Rentals Ltd premises. Discrepancies or indicated damages on damage reports sent after collection must be queried within 24 hours of receipt for all customers (retail and trade).
Any losses or damages will be deducted from the Hirer’s refundable deposit. If the total replacement value of the lost or damaged items exceeds the value of the refundable deposit, then we reserve the right to collect any outstanding fees from the Hirer.
Equipment care
It is the Hirer’s responsibility to return all the items received in the same quantity, the same condition and in the same boxes/crates that they delivered in.
The hired equipment is solely intended for use and storage indoors unless specifically designed and manufactured for outdoor use. If the equipment is used or stored outdoors, the hirer is fully responsible for damage caused by the weather or any other associated hazard.
Table linen must not be returned, or stored prior to return, damp or wet. Damage resulting from mildew or stains or burn marks or other marks that cannot be laundered, will be charged at full replacement cost.
Crockery and cutlery must be scraped and/or rinsed prior to collection to remove food remains and other loose items, even where a cleaning charge is applied. Under no circumstances should scourers or abrasives be used on any hired equipment.
All boxes, cartons, or trolleys must be returned dry and intact. Replacement charges will be made for any cartons, boxes, or roll pallets (caddies) that are lost or damaged.
Prior to collection, all chairs must be stacked in piles of 8 with the seat pads removed. All tables must be collapsed (i.e. legs folded under) and stacked on their sides. All items must be left in an easily accessible part of the room/venue.
Kashrus
Grosvenor Event Rentals Ltd holds Kashrus licences under the KLBD and Kedassia. Both of these sections can be found on our website.
In order to hire from these sections, you will need to provide us with a copy of your Kashrus licences, and we will then provide you with a password to access that area of the website. We will have to verify that each of your functions are being supervised by the relevant bodies.
Grosvenor Event Rentals Ltd also offers a non-supervised range of goods which are ONLY supplied to events where all the food is being brought in fully cooked from a supervised vendor under either KLBD/Kedassia or Federation. When requesting these items on our website, we ask you for a full list of food suppliers. By sharing this list with us, as well as your contact information, you have accepted that we reserve the right to confirm and verify with vendors that you are receiving food from them.
